Questions to Ask Yourself Before Renting Your Tent

We know event planning can feel overwhelming.
There are guest lists to finalize, vendors to coordinate, budgets to manage, and countless decisions to make along the way. The good news? It doesn't have to be stressful.
When it comes to tent rentals, our goal is to help you cover as many bases as possible before installation day arrives. Every successful tented event is made up of several pieces of the puzzle. Guest count, layout, property conditions, décor, timing, and logistics all work together to determine the best solution for your event.
The more information we have upfront, the better we can guide you toward options that fit your vision, your property, and your budget.
Whether you're planning a backyard wedding, graduation party, corporate event, anniversary celebration, or private gathering, these are the most important things to consider before reaching out.
One of the most common questions we receive is:
"What size tent do I need?"
The answer depends on much more than guest count alone.
To help make the planning process easier, we've put together a list of questions to consider before reaching out. As a bonus, these are many of the same questions we'll ask during your consultation.
1. Tell Us About Your Event
Guest count is usually where we start, but it is only one piece of the puzzle.
We'll want to know:

What type of event are you hosting?
How many guests are you expecting?
Will guests be seated for dinner or attending a cocktail-style event?
What would you like included under the tent?
Some common items include:
Guest seating
Head tables
Dance floors
DJs or bands
Cake tables
Gift tables
Buffet stations
Bars
Lounge furniture
Photo booths
The more activities and furnishings you plan to place under the tent, the larger the tent may need to be.
If you already have a vision for your layout, that's even better. Sometimes the desired layout impacts tent size more than the guest count itself.
2. Tell Us About Your Property & Installation Area

Every property is unique.
The available space, access points, and site conditions all play a major role in determining what tent options are available.
Some things we'll want to know include:
Approximate dimensions of the setup area
Front yard, backyard, side yard, or other location
Gates and access paths
Pools, driveways, patios, and existing structures
Stairs, slopes, retaining walls, or elevation changes
Tree branches and overhead obstacles
Irrigation systems
Septic systems
Underground utilities
Tree roots
Limestone and rocky terrain
Many properties throughout Austin, Lake Travis, Lago Vista, Bee Cave, Dripping Springs,

and surrounding areas sit on limestone and rocky ground. While these properties often provide beautiful views, they can create unique installation challenges.
Clearance is equally important.
As a general guideline, we recommend a minimum of 2.5 feet of clearance around all sides of the tent. Additional clearance is often preferred depending on the tent size and site conditions.
Overhead clearance matters as well. Many of our tents range from approximately 12 to 15 feet tall, so we typically need 16 to 20 feet of vertical clearance to safely accommodate installation.
Photos of the property are often extremely helpful and can save time during the planning process.
3. What Style Are You Envisioning?
One of the advantages of tented events is the ability to create a completely customized experience.
Some clients prefer a simple and functional tent. Others want a fully transformed luxury environment.
Ask yourself:
Do I want a traditional tent or a draped tent?
Do I want maximum coverage from sun and weather?
Do I prefer a more open-air feel?
Will I be incorporating florals or additional décor?

Some popular enhancements include:
Floral chandeliers
Hanging greenery
Crystal chandeliers
Specialty lighting
Suspended installations
Custom draping treatments
These elements can affect both layout and installation requirements, so it's helpful to discuss them early in the planning process.
4. What Is Your Event Timeline?
Your timeline helps us determine installation schedules, staffing requirements, and logistics.

We'll typically ask:
When will guests arrive?
What time does the event begin?
What time does the event end?
When can vendors access the property?
Are there any neighborhood or venue restrictions?
As a general guideline:
Most tents require approximately 2–4 hours for installation
Larger draped tent designs may require additional time
Tent breakdown and removal typically requires 1–2 hours
The earlier we understand your schedule, the smoother the installation process will be.
5. Have You Considered Event Insurance?
Event insurance is one of the most overlooked parts of event planning.
Depending on your venue, property, and event type, coverage may be recommended or required.
While we do not provide insurance advice, we encourage clients to explore their options early so there are no surprises as the event date approaches.
Outdoor events are beautiful, but they are also subject to weather and other unforeseen circumstances. Having the appropriate coverage can provide valuable peace of mind.
6. Would a Site Visit Be Helpful?
Some properties are straightforward.
Others benefit from a closer look.

For clients who would like a detailed assessment, we offer on-site consultations to review the property, take measurements, discuss layouts, and identify any installation challenges.
Site visits are $100 for up to one hour.
If you move forward with your rental and your event date remains available, the site visit fee will be credited toward your event rental.
Final Thoughts
The perfect tent isn't determined by guest count alone.
It's a combination of your vision, layout, property conditions, décor, timeline, and overall event goals.
