There is something undeniably beautiful about a summer outdoor event.


The longer days, golden sunsets, open-air celebrations, and stunning outdoor photos are what draw so many couples to summer events in the first place.


But after years of working outdoor events, we've learned something important:


Here's the biggest piece of advice we can give:


PLAN FOR COMFORT


Most couples spend months choosing colors, flowers, linens, and décor.

Your guests will absolutely notice those details.


But they'll remember something else even more:


How they felt.


Here are our top comfort tips for summer outdoor events.


Tip #1: Timing Is Everything


This is often the easiest and most cost-effective way to improve guest comfort.


A ceremony at 4:00 PM in July feels very different than a ceremony held closer to sunset. Whenever possible, consider scheduling your ceremony later in the day.


Benefits include:

  • Cooler temperatures

  • Better guest comfort

  • Less direct sunlight

  • Beautiful golden-hour photography

  • A more enjoyable experience overall

Your guests will appreciate it, and your photos will too.


Tip #2: Provide Shade, Airflow, and Cooling



One of the biggest misconceptions we hear is:

"We'll have a tent, so everyone will stay cool."


A tent is an excellent investment because it provides shade and protection from direct sunlight.


However, a tent primarily creates shade. It does not create cool air.


On a Texas summer afternoon, temperatures under a tent can still become uncomfortable without proper airflow and cooling strategies.


If you're concerned about aesthetics, don't be. Cooling and comfort don't have to come at the expense of a beautiful event.

Fans vs. Evaporative Coolers


Many couples know they need cooling but aren't sure where to start.

There are several budget-friendly options available depending on your event size and cooling needs, including:


  • Standard pedestal fans

  • High-velocity commercial fans

  • Large oscillating fans

  • Misting fans that combine airflow with a fine cooling mist


While fans don't actually lower the air temperature, they can significantly improve comfort by keeping air moving and reducing that stagnant summer heat.



Evaporative coolers go a step further. (MBD Favorite!)


They pull warm air through water-soaked cooling pads and release cooler air back into the surrounding area.


They won't turn an outdoor event into an air-conditioned ballroom, but they can noticeably reduce temperatures in under open-sided tents.


Evaporative coolers are often a great middle-ground option for couples who want more cooling than a fan can provide without the cost of full air conditioning.


Tent Air Conditioning

For the highest level of comfort, tent air conditioning systems provide the closest

experience to being indoors. These systems use commercial-grade air conditioning units positioned outside the tent, with large ducting that distributes cooled air throughout the space.


Tent air conditioning is typically the most expensive cooling option, but it provides the most consistent temperature control and is often used for:

  • Fully enclosed tents

  • Luxury weddings

  • Corporate events

  • Extra large events



The Biggest Cooling Mistake We See


One of the biggest mistakes we see is couples renting one cooler and expecting it to cool an entire event. Cooling equipment works best when it's placed where guests spend the most time.


A common question we hear is:

"Can't we just enclose the tent and put fans and evaporative coolers inside?"


Unfortunately, it doesn't usually work the way people expect.

A fully enclosed tent can trap heat during the day.

Once warm air builds up inside, fans simply move the hot air around.


Evaporative coolers also need airflow to work effectively. When a tent is completely enclosed, humidity can increase and cooling performance can decrease.


In many cases, guests are actually more comfortable in a shaded tent with excellent airflow than they are in a fully enclosed tent holding in heat.


If your goal is a truly climate-controlled environment, that typically requires specialized HVAC equipment designed specifically for tented events.


For most summer events, we recommend:

✔ Open-sided tents whenever possible

✔ Strategic fan placement

✔ Evaporative coolers in gathering areas

✔ Plenty of water stations (MBD Favorite!)

✔ Scheduling around the hottest part of the day


Book Cooling Equipment Early

Every summer, fans and evaporative coolers become some of the most requested rental items especially because of their affordability.


And every summer, couples wait too long.


By the time temperatures start climbing into the upper 90s, inventory becomes much harder to find.


If you're planning a event between June and September, reserve cooling equipment as early as possible. You'll have more options and avoid unnecessary stress as your event date approaches.


Tip #3: Water, Water, and More Water

If you think you've ordered enough water, order more.


Then order a little more.


We recommend:

  • Bottled water stations

  • Water available during the ceremony

  • Backup water supplies nearby for refilling misting fans and evap coolers throughout the event


Don't make guests walk across the venue looking for hydration.

The easier it is to access water, the more comfortable everyone will be.


Tip #4: Create a Cooling Retreat

Not every guest handles Texas heat the same way.


Consider designating a small area where guests can step away from the heat for a few minutes if needed.


This doesn't need to be elaborate or large enough to hold your entire guest list.

It could be:

  • A small barn

  • A garage

  • A pool house

  • A covered patio with fans

  • A spare room inside the home

  • A workshop

  • Any climate-controlled space available on the property


Think of it as a comfort station rather than a backup venue.


This space can be especially helpful for:

  • Elderly guests

  • Pregnant guests

  • Nursing mothers

  • Young children

  • Guests with medical conditions

  • Out-of-town visitors who aren't accustomed to Texas summer temperatures


Sometimes all someone needs is a few minutes in a cooler environment before returning to the celebration.


A small comfort space can make a surprisingly big difference in the overall guest experience.


Tip #5: Don't Forget About Bug Control


Nothing clears a dance floor faster than mosquitoes.

When planning an outdoor event, especially near water, wooded areas, ranch properties, or large lawns, bug control should be part of the conversation.


Consider:

  • Professional mosquito treatment before the event

  • Strategic lighting placement

  • Bug-repellent stations in restrooms or welcome areas


Guests rarely notice when bug control is done well.
